Reimbursement Procedures

Do you have insurance through another employer, or through a partner’s employer?  Do you, or does your partner, pay for this insurance through payroll deductions? If the answer to either of these questions is “yes,” and if you do PT bargaining unit work during the academic year, you may be eligible for a reimbursement from Community College of Philadelphia.

Adjunct faculty who have insurance coverage through another employer or a spouse's employer are entitled to the same benefit contributions as participants in the College’s insurance groups.  This means that Adjunct faculty who pay any portion of the premium for their medical coverage can be reimbursed for those payments, up to the amount they would receive as members of the College’s groups. 

Forms for requesting the reimbursement are available online. Reimbursement claims are processed four times a year, they must be submitted to the Human Resources Department and accompanied by proof of payment of premium no later than 12:00pm on February 15th, May 15th, August 15th, and November 15th .  Employees who are entitled to this benefit, should include a letter from their employer or other administrator of benefits, breaking down the insurance cost for the individual (as opposed to family or employee and spouse) and for medical insurance ONLY. 

To be eligible for reimbursement, an Adjunct Faculty member must work the current semester or the previous semester that they are requesting the reimbursement. No reimbursements will be processed for claims submitted during a time period that the Adjunct was not actively teaching. The College reviews all requests and will not honor claims for reimbursement submitted more than six months after the expense was incurred.

PLEASE NOTE: Reimbursement is prohibited for any Medicare or Medi-gap Secondary plans. Per the Medicare Secondary Payer Manual: An employer or other entity is prohibited from offering Medicare beneficiaries financial or other benefits as incentives not to enroll in or to terminate enrollment in a Group Health Plan (GHP) or Large Group Health Plan (LGHP) that is or would be primary to Medicare.

Note: Prescription plans, Dental plans, and any surcharges are NOT subsidized by the College, and will NOT be reimbursed. The College can not offer reimbursement of any kind for any coverage that is not through an employer or a spouse's employer.
